Invoice chasing

Send polite payment reminders on a fixed schedule and tell you who needs a personal call.

You hate nagging people for money, so you wait too long and then get awkward.

The job at a glance

Starts when
An invoice passes its due date
Autonomy
Auto for first reminder, approval for the rest
Human check
Friendly reminders can go out automatically. Firm and final notices wait for your approval.

What happens, step by step

  1. Check your accounting tool for unpaid invoices past due.
  2. Pick the reminder for how late it is: friendly, firm, final.
  3. Draft the message with the invoice number, amount and a pay link.
  4. Stop when the invoice is marked paid and list the stubborn ones for you.

Two ways to set it up

No-code route

Most accounting tools already send reminders. Zapier or Make can add a personalised message and a weekly list for you.

Agent route

An agent that reads payment status and writes the message in your voice, with a rule that it never mentions penalties.

Where it can go wrong

  • Chases an invoice the customer paid yesterday.
  • Uses a harsh tone on a long-time customer.
  • Sends to an old contact address.

What it could cost to run

An estimate for the AI model step only. The starting numbers are our assumptions for this job, and the prices are examples. Replace them with your own volume and your provider's current rates. Automation tool subscriptions are not included.

Per run
$0.00
Per month
$0.00

Start small

  • Turn on reminders for one customer group only.
  • Check payment status right before each send.
  • Keep a do-not-chase list for people you handle yourself.

Questions people ask

Can AI send payment reminders for me?

Yes. Keep the first reminder automatic and anything firmer under your approval, and always check paid status before sending.

Will it hurt customer relationships?

It can if the tone is wrong. Write the three reminder templates yourself and let the AI only fill in the details.

The weekly handoff

One job a week. What it does, what it costs, where it breaks.
