Appointment booking

Let customers book, move or cancel a slot by text, chat or email without you in the loop.

You play phone tag with customers and miss calls during lunch.

The job at a glance

Starts when
A customer asks for a time by message, form or chat
Autonomy
Runs on its own inside fixed rules
Human check
Safe to run on its own for standard services. Send anything unusual, such as long jobs or special requests, to you.

What happens, step by step

  1. Read the request and check what service they want.
  2. Look at your real calendar for open slots.
  3. Offer two or three times and confirm the one they pick.
  4. Create the event, send a confirmation and a reminder.

Two ways to set it up

No-code route

A booking tool with its own scheduling page, plus Zapier or Make to send reminders. Often no AI is needed at all.

Agent route

A chat or voice agent connected to your calendar for customers who prefer to talk or text.

Where it can go wrong

  • Double-books because it read a stale calendar.
  • Books a 30-minute slot for a 2-hour service.
  • Misreads a time zone or a daylight-saving change.

What it could cost to run

An estimate for the AI model step only. The starting numbers are our assumptions for this job, and the prices are examples. Replace them with your own volume and your provider's current rates. Automation tool subscriptions are not included.

Per run
$0.00
Per month
$0.00

Start small

  • Start with one service type and fixed hours.
  • Block your own time on the same calendar it reads.
  • Check the first 20 bookings by hand.

Questions people ask

Do I need AI to book appointments?

Often not. A plain scheduling link solves most of it. AI helps when customers write in free text and you want it to pick the slot for them.

What stops it from double-booking me?

It must read the live calendar at the moment of booking, not a copy. Test with two requests for the same slot.

The weekly handoff

One job a week. What it does, what it costs, where it breaks.
